Transparency unit staffing and budget

Dear Sir or Madam,

Under the right of access to documents in the EU treaties, as developed in Regulation 1049/2001, I am requesting documents which contain the following information:

For the years 2017, 2018 and 2019:

- any and all documents that contain the number of staff in your Transparency Unit (or the department dealing with access to EU documents requests) - this could be, for instance, organigrams or staffing plans that are specific to that unit;
- any and all documents containing the budget for your Transparency Unit (or the department dealing with access to EU documents requests); I would appreciate the most detailed version of this budget possible.

And for the years 2016, 2017 and 2018:

- any and all documents containing data on the handling of access to EU documents requests by this institution; I am looking specifically for broken down data, per year, on the number of initial access to documents applications received, and the number of confirmatory applications received.

Dear Ms. Izuzquiza, Thank you for your request. The Agency does not have an specific organizational structure for dealing with access to EU documents requests. Following Management Board Decision 145 (https://www.era.europa.eu/sites/default/files/agency/docs/decision/decision_n145_annex_arrangements_tobe_applied_by_agency_for_public_access_to_documents_en.pdf) ANNEX on the Arrangements to be applied by the Agency for public access to Documents, the requests are dealt with by the Document Access Coordinator. This role is designated by the Executive Director, and today is held by the Information Security and Privacy Team Leader, in the Executive Office and Communication Unit. You can see the related organigram in the Agency website. (https://www.era.europa.eu/agency/organisation_en) The activity does not have any specific budget allocated. The above mentioned decision states that reports on declined requests should be included as annexes in the Annual Activity Reports. You can find Annual Activity Report 2016 here https://www.era.europa.eu/sites/default/files/agency/docs/decision/decision_n155_annex_era_annual_activity_report_2016_en.pdf You can find Annual Activity Report 2017 here https://www.era.europa.eu/sites/default/files/agency/docs/era_annual_activity_report_2017_en.pdf Annual Activity Report 2018 will be made available in the Agency website (www.era.europa.eu) later this year (probably around June/July). Please note that the Annual Activity Reports 2016 and 2017 do not include any information on refused requests and no requests were refused during those years. On the total number of requests, decision 145 requires the Executive Director to report to the Management Board annually. Attached you can find the report for 2017 and 2018. There is no report for 2016, as the decision 145 is signed on 29/11/2016 and data was not collected for that year. Best regards ERA Communication-team
